Sending by email

Email an invoice from EenFactuurMaken.nl with the PDF and e-invoice attached. Default texts, placeholders, who you can email on the Free plan, and the limits.

You email a finalised invoice straight from EenFactuurMaken.nl. Open the invoice and click Send.

The send dialog

  • To: your customer's email address is already filled in. Several addresses? Press Enter or a comma after each one.
  • Cc: the cc addresses on the customer, or ones you add.
  • Subject and Message: leave them empty to use our default text (or your own default, see below), in the invoice language.
  • Attach UBL file: an e-invoice that accounting software reads directly. On by default.

After sending, the invoice gets the status Sent and you see it in the invoice timeline.

What your customer receives

  • A tidy email in your house-style colour, with the amount and the due date.
  • The PDF as an attachment (factuur-2026-0001.pdf).
  • The e-invoice as an attachment (factuur-2026-0001.xml), if you have it turned on and your customer has an electronic address: a Peppol ID, KvK number or EU VAT number. Individuals only get the PDF.
  • A Pay now button if the invoice has a payment link.
  • A link to the online invoice, if it's switched on.

Sender and replies

The email comes from "Your business via EenFactuurMaken.nl" with our sender address. When your customer replies, it goes to the email address in your business details. With Pro you can send from your own address, like invoices@yourcompany.com. See Your own email domain.

Your own default text

Under Settings → Invoices & numbering → Invoice email you set your own subject and message. You can use these placeholders:

PlaceholderBecomes
{customer}Your customer's name (or the contact person)
{number}Invoice number
{amount}Total amount, for example €1,379.40
{dueDate}Due date
{paymentLink}The invoice's payment link (empty if there isn't one)
{business}Your business name
{daysOverdue}Number of days overdue (reminders only)

An example:

text
Dear {customer},

Please find attached invoice {number} of {amount}. We'd appreciate payment before {dueDate}.

{paymentLink}

Who can you email on the Free plan?

On the Free plan we send through our shared sender. To prevent abuse, you can then only email an invoice to:

  • the email address and cc addresses on the invoice's customer, and
  • your own (account) email address.

Want to email another address? Update the address on the customer, or upgrade to Pro. Otherwise you'll see Not allowed on Free (email_recipient_not_allowed).

Limits

LimitFreePro
Recipients per message (to + cc)2020
Recipients in total30 per 24 hours500 per hour

Reminders count towards the total number of recipients. If you hit a limit, you'll see it right away and can try again later.

Did my email arrive?

Under Settings → Email → Sent emails you see your latest emails and their status:

StatusMeaning
QueuedWe're about to send it.
SentOur mail server sent it.
DeliveredYour customer's mail server accepted it.
BouncedRejected, for example because of a wrong address.
FailedSending didn't work. Try again.

"Delivered" doesn't mean your customer read it. Whether your customer viewed the invoice is shown on the online invoice. Email not arriving? See Troubleshooting.

Sending it yourself

You don't have to email through EenFactuurMaken.nl. Download the PDF and the UBL via More actions and send them yourself, or share the online link. See PDF and e-invoice. The status then stays Issued.
