Business details

Which business details must be on your invoice (KvK number, VAT ID, address, IBAN) and how to enter them in EenFactuurMaken.nl, including your logo and Peppol ID.

Your business details appear on every invoice. You'll find them under Settings → Business details. When you finalise an invoice, it gets a fixed copy of these details. If you change something later, your older invoices stay exactly as they were.

What's required?

A Dutch invoice must show your name, address, VAT ID and (if you're registered) your KvK number. EenFactuurMaken.nl checks this when you finalise an invoice.

FieldRequired?Notes
Business nameRequiredThe name you trade under. If your registered name differs, enter it under Registered name.
Address, postcode, city, countryRequiredYour business address. A PO box is not a business address; use your street address.
KvK numberRequired in the Netherlands8 digits (Chamber of Commerce number). See Not registered in the Handelsregister if you don't have one.
VAT IDRequired, except under the KORYour VAT identification number, like NL001234567B01. Not your tax reference number (omzetbelastingnummer).
IBANStrongly recommendedWithout an IBAN your customer doesn't know where to pay, and there's no payment QR code. An invalid IBAN blocks finalising.
BIC, account holderOptionalThe BIC is only needed for payments from outside the euro area. Leave the account holder empty to use your business name.
Email addressRecommendedReplies to your invoice emails go here.
Phone, websiteOptionalPrinted on your invoice if you fill them in.
Peppol IDOptionalYour address on the Peppol network, for example 0106:12345678 (0106 + your KvK number).

VAT ID or tax reference number?

Since 2020 sole traders in the Netherlands have two numbers. Your invoice needs your VAT identification number (btw-id). You'll find it in Mijn Belastingdienst Zakelijk and in the letter from the Belastingdienst.

Branch number

A KvK number has 8 digits. If you enter 12 digits, that's probably your branch number (vestigingsnummer). You'll see a warning, but you can continue.

Not registered in the Handelsregister

Some businesses don't need to register with the Dutch Chamber of Commerce, for example if the KvK doesn't count your work as a business but you are a VAT entrepreneur (you registered directly with the Belastingdienst), or an informal association without a business. In that case turn on I'm not registered in the Handelsregister. You can then invoice without a KvK number.

Note: without a KvK number we can't produce an e-invoice (UBL) for you, because the Dutch Peppol profile requires one. The PDF works as usual. See PDF and e-invoice.

VAT settings

Your VAT settings are under Settings → Invoices & numbering, in Defaults for new invoices:

  • VAT treatment: what new invoices get. Usually VAT (21%, 9% or 0%). If you use the KOR or are exempt, choose that here. See Choosing a VAT treatment.
  • You usually supply: goods or services. Decides which statement appears on invoices to EU and foreign customers. Default: services.
  • Exemption reason: the text printed on exempt invoices, for example "art. 11 lid 1 onderdeel g Wet OB 1968".
  • Default VAT rate: the rate for new lines, usually 21%.

Defaults for new invoices

Under Settings → Invoices & numbering you also set what every new invoice gets: payment term (14 days by default), currency (EUR by default), invoice language (Dutch, English, German or French), default notes and footer, a payment link and whether the payment QR code is shown. You can change these per customer and per invoice. Numbering is on Invoice numbering.

Upload your logo under Settings → Business details in Logo (or in the welcome guide): drop the file in the box or click Upload logo. It can be a PNG or JPEG of up to 500 KB. A landscape logo on a transparent background works best. Position, size and colours are set in Logo, colours and style.

Changing payment details

Your IBAN, BIC, account holder, reply-to address and default payment link are sensitive: whoever changes them could redirect payments. That's why:

  • you can only change them in the web app, not through the API or an AI assistant;
  • you must have signed in within the last 15 minutes (otherwise we ask you to sign in again);
  • you get an email when they change, and the change shows up in your security log.
