Create an invoice
Everything about filling in an invoice in EenFactuurMaken.nl. Customer, lines, quantities, units, discounts, VAT rates, dates, references, notes and the invoice language.
Start a new invoice under Invoices → New invoice. An invoice is a draft first: you can change anything until you finalise it. On the right you see the PDF as you type.
Customer
Pick a customer from your list, or type a name and choose New customer. The draft takes over what's set on the customer: payment term, language, VAT treatment and (on Pro) layout. See Customers.
Until you finalise it, a draft always shows your customer's current details. When you finalise, they're fixed on the invoice.
Lines
Every line has:
| Field | Explanation |
|---|---|
| Description | What you deliver. Required. Can be several lines of text. |
| Quantity | Decimals are fine, like 2.5 hours. |
| Unit | piece, hour, day, week, month, year, kg, metre, litre, km, minute, pieces (pack), set or m². The e-invoice uses the official UN/ECE codes (like HUR for hour). |
| Price excl. | The price per unit without VAT. |
| Discount | A percentage per line (0 to 100). Turn it on with Discount per line. |
| VAT | 21%, 9%, 0% or Other %. |
Pick a product fills in the description, unit, price and VAT from your products. Through a line's menu you can duplicate, move or remove it. An invoice can have up to 500 lines.
Keyboard shortcuts in the lines: ⌘ Enter (Ctrl Enter) for a new line, ⌥ ↑ / ↓ (Alt ↑ / ↓) to move a line.
How we calculate
- Line total = quantity × price × (1 − discount%), rounded to whole cents (halves away from zero).
- VAT is calculated per rate over the total of the lines with that rate, not per line. That avoids rounding differences.
- Amounts are stored in whole cents.
VAT treatment
The VAT treatment applies to the whole invoice: standard VAT, reverse charge, EU customer, customer outside the EU, KOR or exempt. For anything other than standard VAT we charge 0% and print the required statement on the invoice. For an EU or foreign customer you also choose Goods or Services. Read Choosing a VAT treatment if in doubt.
Dates
- Invoice date: today by default. You can still change it when you finalise.
- Payment term and due date: choose Immediately, a number of days or Other. The due date can't be before the invoice date.
- Delivery date: when you delivered or did the work. Required on the invoice if it differs from the invoice date. Invoicing a period (a month, for example)? Turn on This covers a period and enter the start and end.
References
- Reference: your own reference, for example an order number or project name.
- Customer reference: a purchase order or cost centre number your customer asks for. It's included in the e-invoice as the buyer reference, which many accounting systems and public bodies require.
Notes, payment and layout
- Notes: text above the payment instructions, like "Thanks for your business!".
- Footer: small text at the bottom of every page.
- Payment link: for example a Tikkie or Mollie link. It appears on the invoice as a button and QR code.
- Show payment QR code: an EPC QR code your customer scans with their banking app. Only works in euros with an IBAN. See Payments and status.
- Layout: your house style by default. On Pro you can choose another template per invoice.
Defaults for these fields are set under Settings → Invoices & numbering.
Language and currency
- Invoice language: Dutch, English, German or French. All fixed texts on the PDF, the email and the online invoice use that language, including the legal VAT statements.
- Currency: euro by default. If you invoice in another currency with VAT, the VAT amount must also be shown in euros. See Currencies and exchange rates.
Saving
You save a new invoice the first time with Save as draft (⌘ S or Ctrl S). After that, changes are saved automatically. On the Free plan an invoice counts towards your monthly limit as soon as you save it. See Free and Pro.
Don't need a draft anymore? Choose Delete draft. See Copy, cancel, delete.
