Payment reminders
Reminders for unpaid invoices. By hand on every plan, automatically with Pro. The schedule, the tone of each reminder, your own text and the rules.
Invoice not paid on time? Send a reminder. You can do that by hand on every plan; with Pro it happens automatically.
By hand
Open the invoice and choose Send reminder. You see which reminder it will be and who it goes to. The invoice (PDF) is attached to the email.
- You can send a reminder from 3 days before the due date. Before the due date it's a friendly heads-up that payment is coming due.
- Only for finalised or sent invoices that haven't been paid. Not for credit notes, and not if the invoice is fully credited.
- Clicking twice in quick succession sends only one.
Automatically (Pro)
Under Settings → Invoices & numbering → Payment reminders:
- Turn on Send reminders automatically.
- Choose on which days after the due date a reminder goes out. By default 7, 14 and 30 days. Up to 5 reminders.
We check every 15 minutes which invoices need a reminder. There are always at least 2 days between two reminders. Reminders stop as soon as you mark the invoice as paid, cancel it or fully credit it.
Automatic reminders go to your customer's email address (and cc). If your customer has no email address, we skip it.
The reminders
| Reminder | When | Tone |
|---|---|---|
| Friendly reminder | Before the due date (by hand only) | "Invoice due on …" |
| 1st reminder | After the due date | "Perhaps it slipped your mind" |
| 2nd reminder | After that | Asks for payment within 7 days |
| Final notice | The third reminder after the due date | Asks for payment within 14 days, with the statutory collection costs (WIK) |
| Further reminders | After that | Back to the tone of the 2nd reminder |
We send the final notice (the Dutch "veertiendagenbrief") only once, so your customer doesn't keep getting a new 14-day term. How collection costs work is explained in Collection costs (WIK).
All reminders are in the invoice language and state the amount still outstanding (after credit notes).
Your own text
Under Reminder text you set your own message. Leave it empty for our default text for each reminder. Your own text is used for all reminders. On the final notice we always add the sentence about collection costs below it.
You can use the same placeholders as when sending, plus {daysOverdue} (number of days overdue).
Limits
Reminders count towards your email limit (number of recipients per day or per hour), but not towards the 5 times per 24 hours you may send the same invoice. On the Free plan you can only send reminders to your customer (or yourself). See Sending by email.
