Copy, cancel, delete
Duplicate an invoice into a new draft, delete a draft or cancel a finalised invoice, and when a credit note is the better choice.
Duplicate
Invoicing the same thing often? Open an invoice and choose Duplicate (in More actions or in the list). You get a new draft with:
- the same customer, lines, VAT treatment, currency, language, notes and layout;
- today's date and a new due date (same payment term);
- no number yet (it gets one when you finalise);
- no exchange rate: that belongs to the new invoice's date.
A copy of an invoice counts towards your 5 free invoices a month. A copy of a credit note doesn't.
The same invoice every month? With Pro you can automate it with recurring invoices.
Deleting a draft
You can only delete a draft: open it and choose Delete draft. It's then gone for good.
Was it an invoice (not a credit note) that was never finalised? Then you get it back in your monthly limit.
You can't delete a finalised invoice. That's not allowed either: you must keep your invoices for 7 years and your numbering must stay complete.
Cancel
Is a finalised invoice completely wrong or no longer needed, and hasn't it been paid? Then choose Cancel.
- The number remains, with the status Cancelled. That keeps your numbering sequential.
- The invoice no longer counts as outstanding and no more reminders go out.
- The invoice is kept and you can still download it.
- You can't undo cancelling. Duplicate it if needed.
You can't cancel when:
- the invoice has already been paid (
invoice_not_cancellable). Make a credit note instead; - there's already a credit note for the invoice (
invoice_has_credit_notes).
Cancel or credit note?
| Situation | What to do |
|---|---|
| Draft with a mistake | Just edit it. |
| Finalised, not sent or discussed yet, not paid | Cancelling is allowed. Many accountants prefer a credit note. |
| Already with your customer, in their or your books | Credit note. That keeps the books aligned on both sides. |
| Already paid, and you need to refund | Credit note. |
| Part of the amount is wrong | Partial credit note for the difference. |
If in doubt, ask your accountant. Everything about credit notes is in Credit notes.
